1. Information We Collect
We collect information to provide secure online notarisation services. This includes:
- Personal Identification Info: Name, email address, telephone number, and identity credentials (e.g. passport or driving license) loaded during verified session setups.
- Document Data: Documents uploaded for notarisation. These files are stored using AES-256 encryption at rest and strictly isolated.
- Audit Records: IP addresses, browser agents, access times, and session activities required for compliance.
2. How We Use Your Information
We use the collected data for the following purposes:
- To verify client identity under notary regulations.
- To schedule, coordinate, and execute online video notarisation appointments.
- To securely process payments via Stripe.
- To maintain legal compliance registries and audit logs.
3. Document Security and Retention
DigiNotary prioritises document security:
- At-Rest Encryption: All client documents are stored outside the public web root directory using AES-256 encryption keys.
- Retention Policy: Uploaded client documents are automatically deleted from server disk storage 30 days after the case is marked as "Completed". Only metadata remains in the immutable audit log for compliance.
